Inviting users

Sending an invitation, choosing rooms and teams, and following up.

Inviting users

Invitations are how you bring people into a location. Each invitation gives someone access to specific rooms, assigns them a role within those rooms, and optionally adds them to teams — all configurable before you send.

Where to start

Go to the Invitations tab inside the location. The invitation form is at the top of the page.

The form, step by step

Email

Enter the person's email address and click Invite. If they don't already have a CueProX account, they'll create one when they accept. If they do, they'll be added to the location under their existing account.

Room access

The Room access section controls which rooms the person can enter.

  • All rooms toggle — when on, the invitee gets access to every current room in the location, plus any rooms added in the future. Use this for people who need location-wide access: a director, a tech coordinator, or anyone who floats between rooms.
  • Per-room — when the toggle is off, you see individual toggles for each room. Turn on the rooms you want, and leave the others off. The invitee won't see or access the rooms that aren't selected.

Next to each room option (or once for all rooms, if the all-rooms toggle is on), you'll choose a role:

  • Associate Director — nearly full access within that room
  • Q&A Moderator — can moderate Q&A; limited to that function
  • Crew Member — standard access; sees team output and notes
  • Observer — read-only access

Note

Director is not available via invitation. To assign someone as a Director, invite them as Associate Director or Crew Member first, then update their role from the room's Access tab after they've accepted.

Team access

If teams exist in the location, you'll also see a Team access section. By default no teams are selected. Click the colored team pills to add the invitee to specific teams at the time of invitation — so they don't need to be manually added afterward.

This section doesn't appear for Associate Director invitations, since directors have broad access that doesn't depend on team membership.

After you submit

The invitation link appears on screen immediately — a full URL in a monospace input with a Copy button. Share this link with the person you're inviting. It's also emailed to the address you entered.

The link expires in 7 days. After that, the invitee will need a fresh invite.

Pending invitations

Below the form, you'll see a list of pending invitations that haven't been accepted yet. Each entry shows the email address, the expiry date, which rooms and teams the invitation grants access to, and the invitation URL — so you can copy and resend it if needed.

To cancel a pending invitation, click the delete button on its row. The link will stop working immediately.

Tip

If someone says the invitation link isn't working, ask them to try opening it in an incognito or private window. Stale session cookies from a previous login can sometimes interfere with the acceptance flow.
